Location: Remote (HQ in Kansas City, MO; preference to local candidates)

Summary:

Reporting directly to the Vice President of Information Systems, the Donor Database Manager will administer and oversee the daily operation of the constituent database for PKDF, which tracks individual, foundation and corporate donors, volunteers, and prospect information. As a member of the PKDF Operations team, the Donor Database Manager will be responsible for ensuring the accuracy and integrity of the database, including data input and reporting, donor gift receipts and acknowledgements, year-end tax statements, as well as Salesforce training and IT support for PKDF staff. The Donor Database Manager is responsible for ensuring the donor database is effectively operating with other internal systems. The Donor Database Manager plays a key role in advancing the PKDF’s mission to #endPKD.

Core Responsibilities: 

  • Donation Processing & Reporting (50%) 

    • Manages a team of 2 Database Coordinators responsible for the data entry for all constituent records. Ensure that the process, tracking, reporting, and acknowledgment of all gifts and engagement activities are performed accurately and timely.

    • Oversees the quality, integrity, and accuracy of all donor information and gifts entered into the donor database.

    • Ensures that all coding and table entries are consistent, well maintained and adhere to protocol.

    • Audits database records for accurate coding, maintenance of constituent records and data integration.

     Database Administration (25%) 

    • Proactively identify and implement database modifications to support accurate recording and reporting; participate in systems analysis of donor database and related software.

    • Generate customized queries, reports, and lists requested for all constituent engagement activities. This includes lists, exports, revenue, pledge reports, performance analysis report, etc. 

    • Develop and maintain custom constituent reports, based on organizational needs. 

    • Assist in the creation and documentation of processes associated with imports, gift distribution, entry, and acknowledgement. 

    • Manage integrations with Salesforce such as Volunteers for Salesforce, Classy, Formstack, Apsona, Pardot, and Quorum.

    • Proactively identify and implement database modifications to support accurate recording and reporting; participate in systems analysis of donor database and related software.

    • Review current systems and lead efforts to improve workflow and overall support to fundraising efforts. Establish and maintain a structure within the database to effectively identify specific segments of data for various analysis and targeted fundraising and marketing needs.

     User Support (25%) 

    • Train and support database end-users. Provide ongoing training and technical support to staff for the constituent database. This includes developing written training materials and data policies.

    • Respond to staff questions regarding data issues with Salesforce or associated programs via Jira Help Desk. Provide technical expertise, assess requests to prioritize; effectively communicate database opportunities and limitations.

    • Other duties as assigned.

Ideal Qualifications:

  • Bachelor’s degree, or equivalent required, preferably in Computer Science or related field.

    • Self-starter with a minimum of 3 years’ progressively responsible work experience in database management – data entry experience with Salesforce required.

    • Two years’ people management experience.

    • Solid understanding of database architecture and data modeling principles.

    • Familiarity with backup and recovery procedures, as well as database security best practices.

    • Proficiency in managing donor and constituent databases. Proficiency in database administration, prospect and constituent management, data imports and exports and development of reports.

    • Candidates should possess prior working knowledge of principles and techniques of fundraising and desire to grow knowledge. 

    • Ability to work independently and collaboratively with a growing team that prioritizes mission and culture.

    • Ability to develop written correspondence and communicate with senior-level executives.

    • Excellent interpersonal skills. Must be able to relate well to, and build positive, productive relationships.

    • Detail oriented with strong organization skills.

    • Strong time management skills with the ability to prioritize work, be proactive, take initiative, resolve problems, follow through, and simultaneously manage multiple projects to ensure goals are met in a timely manner.

    • Advanced knowledge of Microsoft Word and Excel including the use of document merges and file exports.

    Salesforce Administrator certification highly preferred.

Travel Requirements:

Minimal; <5%

Occasional business travel will be required to the PKD Foundation office in Kansas City, Missouri. Employees residing outside of the Kansas City Metro must live within reasonable proximity to a major airport hub for required travel.

Physical Demands:

  • Must be able to sit or stand for extended periods of time.
  • Use hands and arms, read, stoop, crouch, talk, hear, see objects clearly at 20 inches or less.
  • Lift and move items weighing up to 20 lbs.

As required by applicable Pay Transparency laws, PKDF provides a range of minimum compensation for roles that may be hired in locations under these requirements. Multiple factors may be used to determine your actual salary, including: your specific skills and experience, physical location, or other relevant factors. The salary range for this position may be lower or higher in different markets.

The anticipated pay range for this role is: $55,000 to $85,000 per year
